1. Before you start
To use SP Messenger you need three things:
- The app — for Android or Windows (see the download page), or the web version.
- The server address — SP Messenger connects only to your organisation's own server.
- Your login and password.
The server address and sign-in details are issued by your organisation's administrator. You cannot create an account yourself.
The apps are client software only. If your organisation does not have a server yet, contact us. On request we set up a free demo server for 15 days with up to 10 participants and send you its address and sign-in details.
2. Installation and first sign-in
Android
- Download the APK file from the download page on your phone.
- Open the downloaded file and confirm the installation. If Android asks, allow installing apps from this source (your browser or file manager).
Windows
- Download the installer
sp-messenger-setup.exefrom the download page. - Run it and follow the installer's instructions.
First launch
- Enter the server address exactly as you received it.
- Enter your login and password.
- Done — the main screen with your colleagues opens.
The server you are connected to is shown on the sign-in screen. To connect to a different server, sign out and tap Change server on the sign-in screen; in Windows you can also use Menu → About → Change server.
3. The main screen
- Contact list. You always see all employees of your company — there is no need to search for or add contacts.
- Chats and groups are sorted by the latest activity; the number on the right shows unread messages.
- Search helps you find a colleague or a group quickly.
- Your name at the top, above the contact list, opens your personal notes.
- The menu (⋮) on the main screen contains commands such as creating a group, About and signing out.
4. Chats and messages
- Choose a colleague or a group in the list — the chat opens.
- Type your message and send it.
- From the same chat window you can send files and voice messages and start audio or video calls.
Sent messages cannot be deleted — please check them before sending.
5. Personal notes
Tap your own name at the top of the app, above the contact list. This opens a chat with yourself — a private notebook for reminders, drafts, links, files and voice notes.
Notes are synchronised like all other messages, so this is also a convenient way to move text and files between your phone and your computer.
6. Files and voice messages
Files
Attach a document, image or any other file in the chat and send it. The app only accesses the files you choose to send. Your administrator may limit the number and size of files per day.
Voice messages
Tap the microphone in the chat, speak and send. A voice message can be up to 10 minutes long.
If your administrator has enabled transcription, every voice message is automatically transcribed, and the text appears under it — so it can be read without listening. Transcription takes a little time and depends on the server.
7. Audio and video calls
- Open a chat with a colleague.
- Start an audio or a video call.
- On the first call the app asks for access to the microphone and camera — allow it. They are used only during calls you start or accept. On Android the app may also ask for access to nearby devices, so that the sound can go to your Bluetooth headset.
When a video call comes in you can answer with video or audio only — your camera stays off, but you still see the caller. You can turn the camera on later during the call.
Audio and video travel encrypted between devices.
Call transcripts
If your administrator has enabled call recording, the sound of audio and video calls is recorded (video is not recorded) and transcribed in the background. Both participants see "This call is being recorded" during the call.
When the transcript is ready, tap Expand under the call in the chat to read it — every phrase is labelled with the speaker's name and the time. SP Messenger is a work tool: transcripts make it easy to find the key points and decisions of every conversation.
8. Groups
Creating a group
Open the menu (⋮) on the main screen and choose New group. Enter a name, optionally add a picture, and select members from your company.
Group details
Tap the group header to see its members and management options.
Who can do what
- Only the group creator can change the group name and picture and add or remove members.
- Any member can leave the group.
- If the creator leaves, their rights pass to the longest-standing member.
In a group chat each message shows the name of its sender; changes in the group (new members, a new name and so on) appear in the chat as short notes.
9. Read receipts
- One check mark — the message has been delivered to the server.
- Two check marks — the message has been read: by your colleague in a one-to-one chat, or by every member in a group.
10. Notifications on Android
SP Messenger does not use Google's push service: messages and calls come directly from your organisation's server. To receive them when the app is closed, the app keeps a connection open and shows a permanent "Connected" notification.
Please don't disable this notification. If messages or calls arrive late, exclude SP Messenger from battery optimisation in your phone's settings.
11. Working on several devices
Install SP Messenger on your phone and your computer and sign in with the same account. All messages — including your personal notes — are synchronised and available on every device.
The web version is available at https://<your server address>/app/.
12. Updates
- Android (app from the download page) and Windows update themselves from your organisation's server.
- In Windows you can also open Menu → About and press Update now — the app downloads the update with a progress bar, installs it and restarts.
- The Google Play version is updated through Google Play.
13. Your account and security
For security and protection against scams, some actions are reserved for the administrator. Users cannot:
- register themselves;
- delete messages;
- change their display name or avatar.
If something about your account needs to change, contact your organisation's administrator.
All messages, files and call records are stored only on your organisation's server. Read more in the SP Messenger privacy policy.
14. Connection problems
If the app shows "No connection to the server", it retries automatically.
If the problem repeats, open Menu → About → Send log once the connection is back. This sends a technical log of the connection attempts — without any message contents — that helps your administrator find the cause.
15. For administrators
- Users — create accounts with a login, display name and avatar; a login can be used only once on the whole server, even across companies.
- Disabling users — temporarily block sign-in without deleting anything.
- Removing users — delete a user together with all their messages, or remove the user and keep the messages.
- Companies — create independent communication spaces whose users do not see each other.
- Appearance — choose a chat background for each company.
- Limits — set the number of messages per hour and the number and size of files per day for each user.
- Voice transcription — turn automatic transcription of voice messages on or off.
- Call recording — turn call recording with transcription on or off.
- Groups — overview of all group chats in each company.
- Statistics — view usage reports: messages, files, storage and calls.
- Diagnostics — connection history and app logs for each user, to investigate connection problems.
- App versions — see which app version each user has and make an Android update mandatory.
These are the core features. We can extend them or add new functionality on request — contact us.
